Client Success Manager

 

Outpost Advisors exists to help families expand their capitals while building a multi-generational outpost. That outpost is a family’s home, culture, vision, and talents--their unique claim on their corner of the earth. We are looking for an operations-minded Client Success Manager who can quickly learn and execute administrative tasks while also understanding our financial planning process and discovering new ways to help Outpost Advisors scale efficiently. Our ideal candidate is someone who is able to work for the firm on a part-time basis today with the potential to grow as the company expands in the future.

What you can do right now with excellence:

  • We use a lot of complex software that is unique to the financial planning business. You can pick up on new software quickly with only virtual instruction and demonstration.

  • You’ll assist clients in getting new accounts open and funded at Outpost, working with the client, our back-office asset management team and contra firms as needed.

  • You’ll summarize the content of client meetings and advisor recommendations and place them into plan documents for our clients so that our recommendations for the families we help are presented in a consistent, digestible format.

  • You’ll be a key player in administering our semi-anual Waypoints program by sending clients a check-in at the start of each month and converting the output of that survey into a dashboard that advisors can place recommendations into for the client to consider.

  • You’ll be the go-to person for invoicing clients and creating quarterly statements and annual performance reports. You’ll also ensure that client agreements are kept up-to-date and renewed as needed. 

  • You’ll be our in-house expert of our customer relationship management software, keeping all clients, prospects and past clients’ files up to date so that advisors can easily review updates and stay on track with their clients.

  • You’re comfortable working 100% remote while learning new things and hitting all deadlines.

What we’ll need help with as the firm grows:

  • We need a systems architect who can see what we do and how we do it, then tell us how we can work more efficiently. Today each advisor does all of the above tasks for themselves, leaving them far less time to serve clients and help new families create a funded, multigenerational family vision. With your help, we believe that our existing team can serve many more clients and that as we add advisors we’ll be more prepared to ensure a consistent, excellent experience.

  • You’ll help set up guidelines and principles (think: a handbook) that will allow a smart advisor to take on the same tasks that our current team is now doing and end up near the same place that we’d end up if leadership did those tasks themselves.

  • Because you’ll be the wizard who has optimized our workflow, we think you’ll be a key part of training new advisors in our way of doing financial life planning as we expand.

Skills and requirements:

  • You’re on board with our Mission and Values as a company and seek to live these out in your own life as well as at work.

  • You learn new software quickly - we use RightCapital, Wealthbox, PreciseFP, XY Archive, Smart-RIA, Zapier and Quickbooks, among other tools.

  • Must be fluent with GSuite: we use google docs, forms, sheets and drive.

  • Great communicator, both via email and face-to-virtual-face. We rely on consistent, clear communication.

  • Highly organized. Due to an extreme need for privacy among clients and record-keeping for our regulators, we need someone who can create a process to ensure that the right things go to the right people 100% of the time.

  • You are a systems thinker, and can evaluate where hiccups happen and why, and suggest solutions with new methods, software, or personnel.

  • Bonus: familiar with the financial services industry and the associated regulations.

  • As a part-time employee, you must have access to reliable, high-speed internet, a phone, a scanner and a printer. You may use a personal computer or a company machine based on your preference.

Compensation:

  • As this role will begin as an hourly employee, the initial compensation range is $22-$28 per hour and we expect that the required hours will be between 5 and 15 per week depending on the time of year.
